Account & Business Info. Name, email, phone, password (hashed), business name, industry, timezone, user roles.

Billing. Payments are processed by third parties (e.g., Stripe). We do not store full card numbers.

Customer/Client Data You Add. Contacts, notes, bookings, messages (SMS/email), files, and activity you store in your workspace.

Usage & Device. IP address, device/OS/browser, pages viewed, actions, referral/UTM, approximate location, error logs.

Cookies & Similar Tech. Session login, preferences, analytics/performance, and fraud prevention.

2) How We Use Information

  • Provide and secure the Services (authentication, workspaces, calendars, messaging, backups).
  • Send transactional communications (confirmations, reminders, password resets, critical updates).
  • Process payments/subscriptions, prevent fraud, and handle support.
  • Analyze usage to improve performance, reliability, and product experience.
  • Comply with legal obligations and enforce our Terms of Service.

4) Sharing & Service Providers

We use vetted processors to operate the product (hosting/CDN, email/SMS delivery, analytics/error monitoring, payments). They process data on our behalf under data-processing terms. We do not sell personal information.

When you connect numbers or domains, ClientSync sends SMS/email on your instructions. You are responsible for lawful contact lists, consent, and honoring opt-outs. We support STOP/UNSUBSCRIBE handling where applicable.

You can control cookies in your browser. Essential cookies are required for login and core functionality; blocking them may impair the Services.

7) Data Retention

Account data is retained while your subscription is active. You can export or delete workspace records. We may keep minimal logs/records for security, billing, and legal requirements.

We use administrative, technical, and organizational safeguards appropriate to our Services. No method is 100% secure; please use strong passwords and enable available protections.

9) International Transfers

Data may be processed in the United States and other countries by our providers under appropriate safeguards.

12) Industry & Compliance Notes

Healthcare: ClientSync is not a HIPAA-compliant EHR/EMR and is intended for non-HIPAA use unless you have a signed BAA with us.

Messaging Compliance: Use consent-based sending and honor carrier rules (A2P 10DLC, toll-free verification where applicable).
